Reporting to the Program Manager, the Administrative Assistant provides comprehensive administrative, programmatic, and operational support across departments, offices, and mission areas. This role supports leadership, project teams, and functional offices by coordinating administrative processes, managing data and documentation, maintaining internal systems, and ensuring timely execution of routine and special tasking to NUWC Division Newport (NUWCDIVNPT). This position is located in Newport, RI.

What You'll Do

  • Provide day-to-day administrative support to managers, directors, and project teams.
  • Coordinate schedules, meetings, calendars, and travel-related documentation.
  • Track action items, tasking, and deadlines; follow up to ensure timely completion.
  • Prepare, process, and track correspondence, memoranda, agreements, and approvals.
  • Assist with onboarding, offboarding, and personnel administrative actions.
  • Maintain and update databases, trackers, spreadsheets, and reports.
  • Manage records in accordance with organizational and records management requirements.
  • Compile metrics, generate routine and ad hoc reports, and support audits or reviews.
  • Ensure documentation accuracy, completeness, and version control.
  • Support internal collaboration platforms (e.g., SharePoint, intranet sites, document libraries).
  • Coordinate IT, help desk, access, and service requests, and then track resolution status.
  • Maintain user access, permissions, and account documentation where applicable.
  • Support basic troubleshooting and liaison with IT service providers.
  • Serve as a point of contact between leadership, staff, and external stakeholders.
  • Draft, edit, and distribute internal communications and meeting minutes.
  • Coordinate with cross-functional offices such as security, IT, finance, facilities, and communications.
  • Support conferences, events, outreach activities, and approval processes.
  • Assist with compliance-driven processes (e.g., security documentation, access requests, travel approvals).
  • Ensure adherence to established policies, procedures, and timelines.
  • Monitor process changes and incorporate updates into administrative workflows.
  • Bid and proposal support if requested.
  • Other duties as assigned.

What We're Looking For

Required Qualifications:

  • An active secret clearance is required to be considered for this position.
  • HS Diploma/GED required.
  • One - Three (1-3) years of experience in business operations within a DoD, U.S. Navy, or federal environment.
  • Experience providing administrative or program support in a professional office environment
  • Strong organizational, time-management, and multitasking skills
  • Proficiency with standard office software (e.g., Microsoft Outlook, Word, Excel, SharePoint)
  • Ability to manage sensitive information with discretion and professionalism
  • Strong written and verbal communication skills
  • Ability to work independently while supporting multiple priorities

Desired Qualifications:

  • Experience supporting government, technical, or corporate environments.
  • Familiarity with enterprise systems, databases, or workflow tools.
  • Experience with records management, agreements processing, or compliance-based administration.
  • Ability to support multiple offices or programs simultaneously.

Physical Requirements:

  • Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking.
